HOW TO PLAN FOR THE FUTURE

Activities and Expenditure Plan

Once a club is up and running, it's vital to plan for the future.

Before seed money can be sought from potential financial support institutions/companies, activities and expenditure plan must be drawn up. This should be done as soon as possible. The plan should specify the dates of the activities it intends to join or host, as well as the breakdown of the setup fund.

Development Plan

A development plan can provide a basis for an organization to agree on its aims and objectives, set goals to strive for within a given period, establish its priorities, assess the financial and manpower implications of what it wants to do, and periodically review its progress in order to establish whether it is achieving its goals and, if not, to examine why not.

Once adopted, the plan provides a framework within which its administrators, coaches, and members can operate. It also provides a base from which the administrators can explain where the organization is headed, what actions are being taken, and why.

A development plan is also a priceless document when seeking grants from potential financial support institutions or looking for commercial sponsorship or donations.

Project Plan

Project planning is another area that must be addressed by clubs at some stage in their development. There are two types of projects usually undertaken by groups.

The first is the short-term project, into which category fall the one-off events, tournaments, and open days.

The second is the long-term project like a fund-raising scheme, building project, and membership drive. The saying "many hands make light work" is never truer than when it comes to club projects. A well-planned project attracting TOTAL club support is already well on the way to success.

The four key areas in project planning are:

VISUALISE
Try to imagine how the project will be carried out from start to finish. The first question asked should be "Is this project necessary?" This should be followed up with "What resources will be needed?", "How much will it cost?" and "How long will it take?".

ORGANIZE
Put a committee together. Give the members purpose, give them jobs, and encourage them to accept responsibility and delegate if the job becomes too onerous.

REALIZE
Oversee and guide all those working on the project. Make sure the various sections are working well together.

SUMMARIZE
Store everything related to the project in a file. Write a report and make recommendations. Thank those who helped, especially those from outside the club.

The above is also true for planning a social event. Note that the main club social function of the year can be a key to developing club morale; so, investing time and effort to make the event something to remember is always worthwhile.

Sports Clubs Budget

The purpose of a budget is to establish a sound financial record for the Club’s activities.

Once the budget is created, it is used as an instrument to plan for future events, provide an accurate historical record for new officers, and finally, as a means to determine to what extent support is needed in different forms.
